Booking Terms & Conditions, Privacy & Cookies

BOOKING TERMS & CONDITIONS

1. Quotations

Unless otherwise stated, quotations provided by Maggs Travel Ltd are valid for 30 days and are based on the journey details supplied at the time of quotation.

Prices may need to be revised if the journey details change, including changes to dates, times, passenger numbers, pickup or drop-off locations, waiting time, additional stops or other requirements.

In exceptional circumstances, significant increases in costs outside our reasonable control may require a price adjustment. Any such adjustment will be communicated before the booking proceeds.

2. Booking & Confirmation

A booking is not secured until any required deposit or payment has been received and confirmed by Maggs Travel Ltd, unless otherwise agreed in writing.

Once a booking is secured, we will provide written confirmation containing the journey details.

It is the booker’s responsibility to check the confirmation carefully and notify us promptly of any errors, omissions or changes.

Until the required payment or deposit has been received, availability may change and the requested date or vehicle cannot be guaranteed.

3. Payment

The amount payable, any deposit required and the payment due date will be stated in the quotation, invoice or booking confirmation.

Payment must be made using one of the payment methods offered by Maggs Travel Ltd for that booking.

Where a balance is payable at a later date, it must be received by the stated due date.

Unless otherwise agreed in writing, the remaining balance for tours and extended bookings is due 30 days before the date of travel.

If payment is not received by the due date, the booking may be released and availability can no longer be guaranteed.

4. Cancellations – Standard Transfers

For standard transfer bookings, cancellations received more than 48 hours before the scheduled pickup will normally be eligible for a refund of payments made, less any non-refundable costs already incurred by Maggs Travel Ltd.

For cancellations received within 48 hours of the scheduled pickup, Maggs Travel Ltd reserves the right to retain or charge up to 50% of the total booking value.

For cancellations received within 24 hours of the scheduled pickup, or in the event of a no-show, Maggs Travel Ltd reserves the right to retain or charge up to 100% of the total booking value.

Any different cancellation arrangements agreed for an individual booking in writing will take precedence over these general terms.

Where required for a legitimate travel insurance claim, we will be happy to provide written confirmation of the booking and cancellation.

5. Tours, Deposits & Cancellations

A deposit may be required to secure a tour, extended booking, vehicle or specific travel date. The amount required will be confirmed at the time of booking.

The deposit is taken to secure the agreed vehicle and date specifically for that customer. Until the required deposit has been received and confirmed, the vehicle and date are not secured and availability may change.

Unless otherwise agreed in writing, a tour deposit is refundable where cancellation is received 30 days or more before the date of travel.

Where cancellation is received less than 30 days before the date of travel, the deposit is non-refundable, as the vehicle and date have been specifically allocated to that booking.

Unless otherwise agreed in writing, the remaining balance for a tour is due 30 days before the date of travel.

Where full payment has been made and the customer subsequently cancels less than 30 days before the date of travel, payments made are non-refundable.

Any different deposit, payment or cancellation arrangements agreed for an individual booking in writing will take precedence over these general terms.

6. Changes to Bookings

We will always try to accommodate reasonable changes to an existing booking, but changes are subject to availability and cannot be guaranteed.

Changes to pickup times, dates, destinations, additional stops, passenger numbers, waiting time or other journey requirements may result in an additional charge.

Significant changes may require the journey to be re-quoted.

7. Airport Transfers

Customers must provide accurate flight information when requested, including the flight number and scheduled arrival or departure time.

For airport arrivals, pickup arrangements will be confirmed according to the airport, flight and circumstances of the booking.

Flight arrival times may be monitored where appropriate, but passengers should maintain communication with the driver where requested, particularly after landing and once luggage has been collected.

For airport departures, Maggs Travel Ltd will normally recommend a pickup time allowing appropriate contingency for the journey and airport check-in.

If a customer requests a later pickup time than we recommend, Maggs Travel Ltd cannot accept responsibility for a missed flight or other loss resulting from insufficient journey or check-in time, except where caused by our negligence.

8. Waiting Time

Reasonable waiting time associated with normal travel conditions will be accommodated where possible.

Additional waiting time caused by significant delays, changes to arrangements or passengers not being ready at the agreed time may be charged.

Where additional airport parking, waiting or access charges are incurred and are not already included in the agreed price, these may be passed on to the customer.

9. Tours & Extended Bookings

Tour itineraries and timings are intended as a guide and may be adjusted because of traffic, weather, opening times, tides, local conditions or passenger requirements.

Where a tour has an agreed maximum duration, additional time requested by the customer is subject to availability and may incur an additional charge.

Admission charges, meals and other third-party costs are not included unless specifically stated in the quotation or booking confirmation.

10. Passenger Numbers & Luggage

Vehicles will never carry more passengers than their licensed capacity.

Customers must provide accurate passenger numbers and inform Maggs Travel Ltd of unusual, excessive or oversized luggage requirements when booking.

Where luggage exceeds the safe carrying capacity of the booked vehicle, we cannot guarantee that all luggage can be transported.

Any unusual requirements, including mobility equipment, sporting equipment or unusually large luggage, should be discussed with us before travel.

11. Child Seats

Parents and guardians are encouraged to provide an appropriate child restraint where required or preferred.

Where a customer supplies a child seat, responsibility for selecting an appropriate seat and correctly securing the child remains with the parent or guardian.

Any requirements concerning child seats should be discussed with Maggs Travel Ltd before travel.

12. Passenger Conduct, Food & Drink

Passengers are expected to behave respectfully towards drivers, other passengers and vehicles.

Food and drink should not normally be consumed in the vehicle unless agreed with the driver.

The driver may stop at a safe location where reasonably possible if passengers require a refreshment or comfort break.

Maggs Travel Ltd reserves the right to refuse or terminate a journey where passenger behaviour is abusive, threatening, dangerous, unlawful or likely to cause damage to the vehicle or place the driver or other passengers at risk.

Where a journey is terminated for these reasons, no refund will normally be payable.

13. Soiling & Damage

Passengers may be charged for reasonable cleaning, valeting, repair costs and associated loss of use where a vehicle is significantly soiled or damaged during their journey.

This includes, but is not limited to, sickness, spillages or damage caused by passenger behaviour.

Where significant or specialist cleaning is required, a minimum charge of £150 may apply, with additional reasonable costs charged where appropriate.

14. Delays & Circumstances Outside Our Control

Maggs Travel Ltd will make every reasonable effort to complete journeys safely and on time.

Journey times can be affected by circumstances outside our reasonable control, including traffic congestion, accidents, road closures, severe weather, airport disruption and other unforeseen events.

Customers should allow appropriate contingency time when connecting with flights, trains, appointments or other onward arrangements.

Nothing in these terms excludes or limits liability where it would be unlawful to do so.

15. Vehicle Breakdown

In the unlikely event of a vehicle breakdown or other operational problem, we will make reasonable efforts to arrange a suitable replacement vehicle or alternative transport as quickly as practicable.

We cannot guarantee that unforeseen disruption will not cause a delay, but we will make reasonable efforts to minimise its impact.

16. Other Drivers & Licensed Operators

Maggs Travel Ltd may use appropriately licensed and insured drivers, vehicles or other licensed private-hire operators to fulfil all or part of a booking.

Where another licensed operator or driver is used, relevant booking information and passenger contact details may be provided where necessary to carry out the journey.

Maggs Travel Ltd will take reasonable care when selecting drivers and operators used to fulfil bookings.

17. Passenger Property

Passengers are responsible for their personal belongings and should check the vehicle before leaving.

If lost property is found, we will make reasonable efforts to return it to its owner.

Maggs Travel Ltd is not responsible for loss or damage to personal property except where liability arises under applicable law.

Reasonable costs associated with returning lost property may be charged to the customer.

18. Complaints

We aim to provide a reliable, professional and friendly service.

If you are unhappy with any aspect of our service, please contact Maggs Travel Ltd by email as soon as reasonably possible, providing the booking details and an explanation of the issue.

We will investigate complaints fairly and respond as soon as reasonably practicable.

19. Our Liability

Nothing in these Booking Terms & Conditions excludes or restricts any liability that cannot legally be excluded or restricted.

Maggs Travel Ltd will not be responsible for losses arising from inaccurate information supplied by the customer, circumstances outside our reasonable control, or a customer’s failure to follow reasonable journey or booking instructions.

20. Governing Law

These Booking Terms & Conditions are governed by the laws of England and Wales.

Any rights customers have under applicable consumer law are unaffected by these terms.

PRIVACY POLICY

Maggs Travel Ltd respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains what information we may collect, why we need it, how we use it and the rights you have regarding your personal information.

Information We Collect

When you make an enquiry or booking with Maggs Travel Ltd, we may collect information including:

  • Your name
  • Email address
  • Telephone or WhatsApp number
  • Pickup and destination addresses
  • Dates and times of travel
  • Flight or other travel information
  • Passenger numbers
  • Luggage and other journey requirements
  • Information necessary to arrange and complete your booking
  • Payment and transaction information where applicable

We will only collect information that is reasonably necessary for providing our services, administering bookings, processing payments, communicating with customers and meeting our legal obligations.

How We Use Your Information

We may use your personal information to respond to enquiries and provide quotations; arrange, confirm and manage bookings; communicate with you about your journey; process and record payments; provide relevant information to drivers; arrange services with other appropriately licensed drivers or private-hire operators where required; maintain appropriate business records; deal with queries, complaints or lost property; and comply with applicable legal, regulatory, licensing, insurance or taxation requirements.

We will not sell your personal information.

Sharing Information

Where necessary to fulfil your booking, we may share relevant information with an appropriately licensed driver, private-hire operator or other service provider involved in providing your journey.

We will only share information reasonably necessary for that purpose.

We may also disclose information where required by law or where we have another lawful reason to do so.

Marketing

We will only use personal information for direct marketing where we have an appropriate lawful basis to do so.

You may ask us to stop sending marketing communications at any time.

Booking confirmations, payment information, driver details and other communications necessary to provide a booked service are not marketing communications.

Payment Information

Where payments are processed through a third-party payment provider, payment information will also be handled in accordance with that provider’s privacy and security arrangements.

Maggs Travel Ltd does not require customers to provide complete payment card details by ordinary email or WhatsApp.

Keeping Your Information

We will retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, accounting, insurance and regulatory requirements.

Different types of information may need to be retained for different periods.

When information is no longer required, it will be securely deleted or disposed of where reasonably practicable.

Keeping Your Information Secure

We take reasonable steps to protect personal information against unauthorised access, alteration, disclosure or loss.

Information may be held electronically or, where necessary, in paper records.

We use third-party services for some business functions, including communications, booking administration, payment processing and website services. These providers may process information on our behalf subject to applicable data-protection requirements.

Your Data Protection Rights

Under UK data-protection law, you may have rights concerning your personal information, including the right to request access to information held about you, request correction of inaccurate information, request deletion in certain circumstances, object to or restrict certain processing, request a copy of certain information and withdraw consent where processing relies upon consent.

These rights are subject to applicable legal requirements and exemptions.

You also have the right to raise concerns with the Information Commissioner’s Office (ICO) if you are unhappy with how your personal information has been handled.
